Costing a training course or workshop

Training courses and workshops have similar costs.

Cost factors
 

Here are some cost factors for training courses or workshops:

 
  • Training course costs such as

    • length of time committed to training course ( based on how much training is needed and what training model is used)
    • facilities costs
    • trainer costs (local and international)
    • where the training is done
    • communications costs
  • Trainee expenses such as

    • travel to the training site
    • room and board
    • training materials
    • medical costs, and
    • per diems (if required).
Guidelines
  Here are some guidelines to follow when you cost a training course or workshop:
 
  • If you are planning a course for people who are not used to being together or being in an urban environment, budget for activities and entertainment outside of the regular hours of the training course.
  • If people are coming from rural areas, budget for medical costs.
  • If the workshop has international participation, budget for higher communication costs.
  • Workshops typically cost about 10-20 percent more than planners estimate. It would be wise to adjust your initial estimate by this amount.
  • Follow these steps to estimate room and board costs.

    • Get a good estimate of the cost for one person for one day.
    • Calculate the number of person-days the workshop will generate.
    • Multiply these two numbers to arrive at the total cost.
Things to do
  Here are some things to do when you cost a training course or workshop:
 
  • Estimate the length of the course.
  • Determine how many trainers, leaders, and other staff will be needed.
  • Determine how many trainees or participants will attend.
  • Calculate the cost of the facilities.
  • Estimate the cost of bringing in trainers, leaders, and other staff.

    Include such costs as travel, room and board, and honoraria.

  • Estimate travel, salary, and housing costs for supporting personnel such as language helpers, secretarial help, word processing, data processing, and maintenance help.
  • Calculate the cost of materials such as equipment, reference materials, working materials, and copies.
  • Estimate participant costs if paid by the program.

    Include such costs as per diems, travel, room and board, and incidentals.

  • Estimate certification costs.
  • Estimate general administrative costs

    Include such things as communication, transportation, public relations, sight seeing, reporting, meals and snacks, currency exchange, emergency medical needs, and contingencies.
