Documenting a literacy program

Introduction
 

Every literacy program should have written documentation to provide a description of the program before and after implementation. This documentation allows others to know what was intended and what was accomplished.

 

If your program is to include external funding, you will be required to provide written documentation.

What types of documents are needed?
 

The answer depends on such factors as size of program, agency requirements, national requirements, and requirements of the potential funding agency.

 

Obviously, if the program is to include external funding, you will need to write a funding proposal. This funding proposal will be based on a program design which should also be written. Similarly, if you have been contracted to develop and carry out a program even if no external funding is needed, you should prepare a written program description for the contracting agency.

 
How extensive should the documentation be?
 

This is determined largely by the scope of the program, the requirements of any sponsoring agency, and your own need for detail.

Things to do
  Here are some things to do when you document a literacy program:
 

If the program is to receive external funding

 
  • Prepare a written description of the program which addresses each program component.

    This document will be the basis for the funding proposal.

 

If the program is being contracted by an agency

 
  • Request documentation guidelines from the contracting agency and prepare the needed documents accordingly.
 

If there are no formal requirements for documentation

 
  • Prepare a basic written description of the program to help you account for all needed components.
